A leading used car selling company partnered with Maruti Techlabs and deployed RPA to augment operational performance and circumvent human errors–empowering the transition from an 8-hour day to a 24-hour day–with no increase in overall headcount. Maruti Techlabs’ client, a leading US based used car selling company, that offers a nationwide modern car selling service, facilitates sellers with an instant offer for their car(s) by asking a few questions about its condition using real-time bids from an extensive network of licensed buyers.

The client needed to improve their ability to accurately counter bid within auctions on auction website. The processes were manual, slow and often prone to human error as well as inaccuracies.

Agents would manually take actions on cars that are available on auction website for counter bidding on offered price or re-running the auction. These myriad of processes involved logging into the seller portal on auction website, navigating across web pages and applying relevant filters to get a status update of each car on the live auction.

Along with this, the agents were manually using disparate applications that suggest the right value to bid against each car. This required copy pasting values across different applications and wait for back-end logic to calculate and generate the suggested value. That apart, agents would also have to cross verify and manually validate the values across different applications at each part of the process.

Analysis & Solution

Given the nature of these structured, transactional and manual processes, the client partnered with Maruti Techlabs to design, develop and reimagine where automation or a “robotized” process could impact the business the most to reduce inefficiencies and time, while increasing revenue.

In order for the bot to deal with unstructured data on the auction website, a siloed solution would have to be setup which would be specifically for the auction bidding process and not cross organizational. An attended bot, would then give a high degree of predictable output with reduced human error and more efficiency.

The client was able to evaluate the potential of robotic process automation during a quick proof of concept. The Business and IT teams explored a myriad of tools and focused on their capabilities.

  1. Attended bot logs into auction website
  2. Navigate across lists and apply relevant filters based on status & location
  3. Communicate with back end logic via APIs
  4. Bot would access and navigate across different systems from the aution website and populate required fields to identify next steps -
    a. Counter Bid with an amount provided by back-end logic
    b. Accept Bid
    c. ReRun the auction for that car
  5. Validate the car details based on execution of one of the 3 options

The first step is to analyse the process that requires automation and select the right tools for its implementation. The aim is to determine the process lifetime, usage criteria, cost benefit and overall feasibility of the project.
Authorize
Based on the analysis, a PoC is developed to determine the financial model, estimated ROI, bot design process, along with the documentation and data required to create the automated flow. At this stage, the company or project head ultimately decides whether or not to authorize this case for deployment.
Apply
This is where the real application of design and development comes together. After identifying the procedure of implementation, the risks as well as costs involved, the bot is created to automate time-consuming, repetitive processes after a series of reruns and rigorous testing.
Actualize
It is now time to release the bot into the larger business system to work with employees. Inter- actions are monitored from hereon and based on the feedback received, the maintenance process follows. Automation reports keep you informed, each time automation is done.
